Privacy Policy

How KavaCore LLC collects, uses, shares, retains, and protects personal information across its websites, services, and future software products.

KavaCore LLC is an Illinois technology company serving U.S. businesses, small businesses, and professional users. This policy explains our privacy practices for KavaCoreLLC.com, related services, and KavaCore.ai products when they launch.

This public policy applies unless a signed agreement, order form, statement of work, data processing addendum, or product-specific terms expressly provide otherwise.

Scope

This Privacy Policy applies to personal information KavaCore LLC (“KavaCore,” “we,” “us,” or “our”) collects through our websites, sales and support interactions, professional and managed services, and software products that link to this policy.

When KavaCore processes personal information solely on behalf of a business customer under that customer’s instructions, KavaCore generally acts as a processor or service provider and the customer’s privacy notice may also apply. Our Data Processing Addendum describes those processor obligations.

Information we collect

  • Contact and business information, such as name, business email, phone number, company, job title, and project details.
  • Account and authentication information for software products, such as account identifiers, login records, organization membership, and security settings.
  • Customer Content, including documents, files, prompts, instructions, datasets, project materials, support messages, and other information a customer chooses to provide for a service or product.
  • AI interaction data, including prompts, uploaded content, configuration data, and generated outputs when an AI-enabled service or product is used.
  • Billing and transaction information, such as billing contact, invoice records, subscription status, payment method metadata, and transaction identifiers. Full payment-card data is generally handled by payment providers such as Stripe rather than stored by KavaCore.
  • Device, network, and usage information, such as IP address, browser type, device information, pages viewed, timestamps, referring pages, diagnostic logs, security events, and product usage.
  • Cookie and similar-technology information as described in our Cookie Policy.
  • Information from customers, integrations, service providers, public sources, and business partners where lawful and relevant to providing or improving services.

How we use information

  • Provide, configure, secure, support, maintain, and improve websites, services, and products.
  • Respond to inquiries, prepare proposals, manage projects, provide customer support, and communicate about an account or engagement.
  • Process invoices, payments, subscriptions, renewals, refunds, taxes, and related financial administration.
  • Operate AI-enabled features, including transmitting Customer Content to approved model, cloud, or infrastructure providers when required for the selected service or product.
  • Detect, investigate, and prevent fraud, abuse, security incidents, service misuse, and violations of our terms.
  • Analyze website and product performance and, where permitted, measure marketing effectiveness.
  • Send service communications and, where lawful, marketing communications. Marketing emails include applicable opt-out mechanisms.
  • Comply with law, enforce agreements, establish or defend legal claims, and protect KavaCore, customers, users, and the public.

AI, uploaded business data, and Customer Content

Customers may be able to upload business documents, data, prompts, or other content to KavaCore services and future KavaCore.ai products. Customers are responsible for ensuring they have the rights and lawful authority to provide that content.

Unless a written agreement expressly allows it, customers should not upload Social Security numbers, government identification numbers, protected health information, payment-card data, biometric identifiers, precise geolocation, credentials, highly sensitive personal information, export-controlled data, or other regulated information that is not necessary for the service.

Where an AI or cloud provider is used to process Customer Content, that provider receives information only as needed to provide the configured functionality and subject to the applicable provider terms, contractual safeguards, and customer instructions. Product-specific documentation may provide additional details.

How we disclose information

  • Service providers and subprocessors that support hosting, software development, email, payments, analytics, security, support, AI/model processing, and other operations.
  • Customer-authorized integrations and third parties when a customer asks us to connect or send information to those services.
  • Professional advisers, insurers, auditors, financing sources, and corporate transaction participants subject to appropriate confidentiality obligations.
  • Government authorities, courts, regulators, or other parties when disclosure is reasonably necessary to comply with law, respond to valid legal process, protect rights or safety, investigate fraud or abuse, or enforce agreements.
  • A successor or acquirer in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, subject to applicable law.

Sale, sharing, targeted advertising, and opt-out signals

KavaCore does not sell personal information for money. Some analytics or advertising technologies may be treated as a “sale,” “sharing,” or processing for targeted advertising under certain U.S. state privacy laws even when no money changes hands.

Where applicable law gives you an opt-out right, you may use our Cookie Settings controls and our Privacy Requests process. Where required and technically supported, we also honor recognized browser-based universal opt-out preference signals for the browser or device sending the signal.

Cookies, analytics, and advertising

We use necessary technologies to operate and secure our sites. Optional analytics or advertising technologies are controlled through our cookie-preference interface. If Google Analytics, Google Ads, or similar tools are enabled, they may collect online identifiers and usage information in accordance with the selected consent settings and provider terms.

Retention

We retain personal information for as long as reasonably necessary for the purpose for which it was collected, to provide or support services, maintain business and security records, comply with legal and tax obligations, resolve disputes, and enforce agreements.

Customer Content retention may be governed by the applicable service, product configuration, or signed agreement. Backups and security logs may persist for a limited period after deletion where necessary for continuity, security, or legal obligations.

Security

We use administrative, technical, and organizational safeguards designed to protect information appropriate to the nature of the data and service. No system is completely secure, and we cannot guarantee absolute security.

U.S. state privacy rights

Depending on your state of residence and whether an applicable privacy law covers KavaCore for the relevant processing, you may have rights to confirm processing, access, correct, delete, or obtain a portable copy of personal information; opt out of certain sales, sharing, targeted advertising, or profiling; limit certain uses of sensitive information; and appeal a denied request.

These rights are subject to legal exceptions, identity verification, and applicability thresholds. We will not unlawfully discriminate against you for exercising an applicable privacy right.

Children and age restrictions

KavaCore websites, services, and products are intended for adults age 18 or older and for business or professional use. They are not directed to children, and we do not knowingly offer accounts to individuals under 18.

Third-party services and links

Our websites and products may link to or integrate with third-party services. Their privacy practices are governed by their own terms and privacy notices, not this policy, except to the extent KavaCore has contractual responsibilities as a customer or processor.

Changes to this policy

We may update this policy as our services, products, vendors, or legal obligations change. We will update the “Last updated” date and provide additional notice when required by law or when changes are material.
